Shifts will take place between 9 AM and 6 PM, Monday to Saturday
Shifts will take place in Chilliwack and Agassiz
Job Summary:
Provide a variety of administrative, secretarial, and receptionist duties to the CCRR team.
Qualifications:
Education, Training and Experience:
- Certificate in Early Childhood Education.
- Minimum one (1) year experience.
- Experience working with child care facilities.
- Experience in business administration.
Job Skills and Abilities:
- Ability to type at least 50 words per minute with high degree of accuracy.
- Advanced level of proficiency with all MS Office applications.
- Ability to communicate effectively orally and in writing.
- Demonstrated outstanding customer service skills.
- Ability to deal with others with courtesy and tact, both in person and on the phone.
- Ability to organize work and carry out the duties of the position with independence.
- Ability to work independently and with a team.
- Knowledge of community and available resources.
Key Duties and Responsibilities:
- Communicate with clients and child care service providers to determine their needs and refer them to appropriate community resources.
- Provide word processing, data input and typing support to staff.
- Perform other support duties related to program areas such as providing information to clients, visitors, and child care providers, assisting with intake and client info collection and tracking.
- Assists the Coordinator with social media and website updates.
- Arranges meetings, schedules appointments and books workshops.
- Maintains client, child care provider, and program information using spreadsheet and/or database software.
- Draft, type and distribute minutes of meetings.
- Schedule program appointments for team members.
- Sort and distribute incoming mail and process outgoing mail. Operate a variety of office equipment such as computer, printer, photocopier, fax machine.
- Produces ad hoc reports from databases as required by the supervisor by identifying and organizing the required information, compiling data, designing format, and printing reports.
- Responds to outside inquiries about services offered by the program.
- Maintain and update files and filing systems.
- Assists in coordinating and completion of projects such as reorganizing the lending library or other internal organization projects.
- Participates in the planning and implementation of educational opportunities, special events and networking.
- Maintains files, statistics and client tracking. Submits relevant reports to the Program Coordinator.
- Provides parents with child care information and referrals.
- Assists clients with filling out ACCB applications.
- Provides support to clients who would like to open child care facilities, including sharing funding options and information regarding licensing.
- Participates in supervisory, staff development and team meetings as scheduled.
- Completes all mandatory learning requirements.
- Performs other relevant duties as may be required.
General:
- Wage rate as per BCGEU Collective Agreement, Integrated CCRR Worker / Administrative Assistant 3 – Grid 11.
- This position requires Union membership.
- This position is open to all persons.
- This position requires successful completion of a criminal record check.
- This position reports to the Child-Care Resource and Referral (CCRR) Coordinator

Compensation
